MLT20 AI Buildathon — Privacy Policy
Effective date: May 1, 2026
This Privacy Policy explains how WNCP AI LLC (“WNCP AI,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information in connection with the MLT20 AI Buildathon (the “Buildathon”) and the website at mlt20buildathon.events.wncp.ai (the “Site”). The Buildathon is co-hosted with Management Leadership for Tomorrow (“MLT”), a 501(c)(3) nonprofit, as an informal joint initiative.
WNCP AI is the data controller for personal information collected through the Site. MLT is the data controller for any personal information you provide directly to MLT through MLT’s own websites, accounts, or events; that information is governed by MLT’s privacy policy.
If you do not agree with this Policy, do not use the Site or participate in the Buildathon.
1.Information We Collect
1.1 Information you provide. When you sign up or register, we collect:
- Identity and contact information — full name and email address.
- Professional context — company or organization, role or title.
- Buildathon-specific details — prompt area of interest, self-reported skill level, team status (solo or team).
- Source attribution — how you heard about the Buildathon.
- Optional content — any project Submissions, comments, or other content you choose to submit.
1.2 Information collected automatically. When you visit the Site, we (and our processors) automatically collect:
- Device and connection data — IP address, user agent (browser and operating system), referring URL.
- Usage data — pages viewed, timestamps, and basic interaction events.
- Cookies and similar technologies — see Section 5.
1.3 Information from third parties. If we run Buildathon programming through third-party platforms (for example, video conferencing, code repositories, or judging tools), we may receive limited information about your participation through those platforms. We do not currently purchase personal information from data brokers.
1.4 Sensitive information. We do not knowingly collect government identifiers, payment-card data, precise geolocation, biometric data, or special-category data (such as health, racial, or religious information) through the Site. Please do not submit such information.
2.How We Use Personal Information
We use personal information to:
- Operate the Site, process registrations, and authenticate participants.
- Run the Buildathon, including communications about schedule, sessions, judging, prizes, and the finalist showcase.
- Match teams, distribute resources, and tailor programming to skill level and prompt area.
- Send transactional emails (account, registration confirmation, important updates) and, where permitted, optional newsletters and marketing about the Buildathon and future WNCP AI or MLT initiatives. You may unsubscribe from marketing email at any time.
- Promote and report on the Buildathon, including the marketing uses described in the Terms & Conditions (e.g., showcasing finalist projects, demo recordings, and team names).
- Maintain security, prevent fraud and abuse, and enforce our Terms and Code of Conduct.
- Comply with legal obligations, respond to lawful requests, and exercise or defend legal claims.
- Generate aggregated or de-identified analytics about Site usage and Buildathon participation. Aggregated and de-identified data is not subject to this Policy.
3.Legal Bases (EEA / UK Users)
Where European or UK data-protection law applies, we rely on the following legal bases:
- Contract — to register you, run the Buildathon, and provide event services you have requested.
- Legitimate interests — to operate, secure, improve, and promote the Buildathon, conduct analytics, and protect our rights, balanced against your interests and fundamental rights.
- Consent — for optional marketing emails, non-essential cookies, and any other use that requires consent. You may withdraw consent at any time.
- Legal obligation — to comply with applicable law and lawful requests.
4.How We Share Personal Information
We share personal information only as described below. We do not sell personal information. We do not “share” personal information for cross-context behavioral advertising as those terms are defined under the California Consumer Privacy Act (CCPA).
4.1 With MLT, our event partner. We share registration information (name, email, company/role, prompt area, skill level, team status, finalist status, and Submission summaries) with MLT for the purposes of co-running the Buildathon, evaluating Submissions, and operating the finalist showcase at MLT’s annual conference. MLT processes that information under its own privacy policy as an independent controller. WNCP AI is not responsible for MLT’s separate handling of your information; please review MLT’s privacy policy for details.
4.2 With service providers (processors). We use the following categories of third-party processors. Each processes personal information on our behalf, under contract, and only for the purposes we direct:
- Hosting and content delivery — Vercel Inc. (Site hosting, edge delivery, log telemetry).
- Database — Neon, Inc. (managed PostgreSQL where registration data is stored).
- Email and notifications — a transactional and marketing email provider [PROVIDER TBD — placeholder].
- Analytics — privacy-respecting product analytics for aggregate Site usage [PROVIDER TBD — placeholder if used].
- Operational tooling — such as customer-support inboxes, document storage, and form processors used to administer the Buildathon.
We will update this list as our processors change. A current list is available on request from damien@wncp.ai.
4.3 With judges, mentors, and sponsors. If you submit a project, designated judges and mentors will see your Submission and reasonable identifying details (name, team, prompt area). If you are a finalist, your name, project, team, and demo materials may be shared with sponsors and conference attendees as part of the showcase. We do not provide your contact information to sponsors without your consent.
4.4 In legal and safety contexts. We may disclose personal information when we reasonably believe it is necessary to (a) comply with law, legal process, or a lawful government request; (b) enforce our Terms or investigate suspected violations; (c) detect, prevent, or address fraud, security, or technical issues; or (d) protect the rights, property, or safety of WNCP AI, our participants, or the public.
4.5 In a business transaction. If WNCP AI is involved in a merger, acquisition, financing, reorganization, sale of assets, or insolvency, personal information may be transferred as part of that transaction, subject to confidentiality obligations and continued protection consistent with this Policy.
4.6 With your consent. We will share personal information for any other purpose disclosed to you with your consent.
5.Cookies and Similar Technologies
5.1We use cookies and similar technologies (such as local storage and pixels) to operate the Site, remember preferences, secure sessions, and measure aggregate usage.
5.2Categories used:
- Strictly necessary — required to deliver the Site and process registrations. Cannot be disabled.
- Functional — remember preferences and improve the experience.
- Analytics — aggregate measurement of Site performance and usage patterns.
5.3We do not currently use third-party advertising cookies.
5.4You can control cookies through your browser settings or, where applicable, through any cookie banner provided on the Site. Some features may not work properly if cookies are disabled. We currently do not respond to "Do Not Track" browser signals; we do honor recognized opt-out signals (such as Global Privacy Control) where required by law.
6.Data Retention
6.1We keep personal information only as long as needed for the purposes described in this Policy.
6.2Default retention: We retain registration and participation records for 24 months after the conclusion of the Buildathon, after which we delete or de-identify the records, unless a longer period is required to comply with legal obligations, resolve disputes, enforce our agreements, or where you have asked to remain on a marketing list.
6.3Aggregated and de-identified data, and Submissions licensed under the Terms & Conditions, may be retained indefinitely.
6.4Server logs and security telemetry are retained for shorter periods consistent with operational needs (typically up to 90 days, longer if needed for security investigations).
7.Your Rights
7.1 Everyone. You may contact damien@wncp.ai at any time to:
- Request access to a copy of the personal information we hold about you.
- Request correction of inaccurate or outdated information.
- Request deletion of your account or registration information (subject to retention requirements above and the perpetual license to Submissions described in the Terms).
- Unsubscribe from marketing communications using the link in any marketing email.
7.2 California (CCPA / CPRA). If you are a California resident, you have the right to:
- Know what personal information we have collected, the categories of sources, the purposes, and the categories of third parties with whom we share it.
- Access and portability of your personal information.
- Correct inaccurate personal information.
- Delete personal information, subject to legal exceptions.
- Opt out of any “sale” or “sharing” of personal information. As stated above, we do not sell or share personal information for cross-context behavioral advertising.
- Limit the use of sensitive personal information. We do not knowingly collect such information.
- Be free from retaliation for exercising your rights.
You may exercise these rights by emailing damien@wncp.ai with the subject line “California Privacy Request.” We will verify your identity using information already in our records (such as your registration email). You may use an authorized agent; we will require written authorization.
7.3 EEA, UK, and Other Jurisdictions. If you are located in the European Economic Area, the United Kingdom, or other jurisdictions with comparable data-protection laws, you may have rights to access, rectify, erase, restrict, or object to processing of your personal information; to data portability; and to withdraw consent. You also have the right to lodge a complaint with your local data-protection authority (for the UK, the Information Commissioner’s Office).
7.4 How to exercise rights. Email damien@wncp.ai. We will respond within the time period required by applicable law (typically 30 to 45 days).
8.Children
The Site and the Buildathon are not directed to children under 13. We do not knowingly collect personal information from children under 13. Participants must be at least 18 years old (see the Terms & Conditions). If you believe a child has provided us with personal information, contact damien@wncp.ai and we will delete it.
9.Security
9.1We use reasonable administrative, technical, and organizational measures designed to protect personal information from unauthorized access, disclosure, alteration, and destruction. These measures include encryption in transit, access controls, and the use of reputable infrastructure providers.
9.2No method of transmission or storage is perfectly secure. We cannot guarantee absolute security. You are responsible for keeping any credentials confidential and notifying us promptly of any suspected compromise.
10.International Transfers
10.1We are based in the United States. Personal information you provide will be processed in the United States and may be processed in other countries where we or our processors operate.
10.2If you are located outside the United States, you understand that data-protection laws in the United States may differ from those in your jurisdiction. Where required, we use appropriate transfer mechanisms (such as the European Commission's Standard Contractual Clauses and the UK International Data Transfer Addendum) to protect personal information transferred from the EEA, UK, or Switzerland.
11.Third-Party Sites and Services
The Site may link to third-party sites and services (sponsors, partners, code repositories, social media). This Policy does not apply to those services. Review their privacy policies before using them.
12.Changes to This Policy
12.1We may update this Policy from time to time. The "Effective date" at the top reflects the most recent revision.
12.2If we make material changes, we will provide notice through the Site or by email where reasonably feasible. Continued use of the Site after changes become effective constitutes acceptance.
13.Relationship Between WNCP AI and MLT
13.1The Buildathon is an informal joint initiative of WNCP AI and MLT. There is no formal written partnership for purposes of data processing.
13.2WNCP AI is the controller for the Site. MLT is a separate independent controller for personal information you provide to MLT directly or that MLT receives from us as a co-host. Each party is responsible for its own processing activities and its own compliance with applicable privacy laws. Neither party is jointly liable for the other’s data-protection conduct.
